Last updated February 01, 2026

These Terms and Conditions ("Terms") constitute a legally binding agreement between you and PatientQ Inc ("we," "us," or "our") governing your access to and use of the patientq.io website and any related services (collectively, the "Services").

By accessing or using our Services, you confirm that you have read, understood, and agree to be bound by these Terms. If you do not agree, please do not use our Services.

Questions? Contact us at support@patientq.io.

1. Acceptance of Terms

By creating an account or otherwise accessing the Services, you represent that:

  • You are at least 18 years of age
  • You have the legal authority to enter into a binding agreement
  • Your use of the Services complies with all applicable laws and regulations

If you are accessing the Services on behalf of an organization, you represent that you have authority to bind that organization to these Terms.

2. Description of Services

PatientQ provides a platform to help manage patient appointment scheduling, queuing, and related workflows. The Services are intended for use by healthcare providers, clinics, and their staff. PatientQ is a technology platform only — we do not provide medical advice, diagnosis, or treatment.

Important: Nothing in the Services constitutes medical advice. Always consult a qualified healthcare professional for medical decisions.

3. Accounts and Registration

To use the Services, you must register for an account. You agree to:

  • Provide accurate, current, and complete information during registration
  • Keep your account credentials secure and confidential
  • Notify us immediately of any unauthorized use of your account at support@patientq.io
  • Accept responsibility for all activity that occurs under your account

We reserve the right to suspend or terminate accounts that contain inaccurate information or that we reasonably believe have been compromised.

4. Acceptable Use

You agree to use the Services only for lawful purposes. You must not:

  • Use the Services in any way that violates applicable local, national, or international law
  • Transmit any unsolicited or unauthorized advertising or promotional material
  • Impersonate any person or entity or misrepresent your affiliation with any person or entity
  • Attempt to gain unauthorized access to any part of the Services or related systems
  • Introduce viruses, malware, or other malicious code into the Services
  • Scrape, harvest, or extract data from the Services without our prior written consent
  • Use the Services to store or transmit content that is defamatory, obscene, or otherwise objectionable
  • Interfere with or disrupt the integrity or performance of the Services

We reserve the right to investigate and take appropriate legal action against anyone who, in our sole discretion, violates this provision.

5. Healthcare and HIPAA Disclaimer

PatientQ is a technology platform and is not a Covered Entity under the Health Insurance Portability and Accountability Act (HIPAA). However, we understand that healthcare providers using our Services may be subject to HIPAA and similar regulations.

  • You are solely responsible for ensuring your use of the Services complies with all applicable healthcare privacy laws, including HIPAA
  • If you are a Covered Entity or Business Associate under HIPAA, it is your responsibility to determine whether a Business Associate Agreement (BAA) with PatientQ is required for your use case
  • PatientQ does not store, process, or transmit Protected Health Information (PHI) on your behalf unless explicitly agreed upon in a separate written agreement
  • Nothing in these Terms constitutes legal or compliance advice

Please contact support@patientq.io if you have questions about compliance requirements.

6. Subscriptions and Billing

Subscription Plans. Access to certain features of the Services requires a paid subscription. Details of available plans and pricing are described on our website.

Billing. By subscribing, you authorize us to charge your payment method on a recurring basis at the then-current subscription rate. All payments are processed by Stripe. By providing payment information, you also agree to Stripe's terms of service.

Renewal. Subscriptions renew automatically at the end of each billing period unless you cancel before the renewal date.

Cancellation. You may cancel your subscription at any time through your account settings or by contacting support@patientq.io. Cancellation takes effect at the end of the current billing period. We do not provide refunds for partial billing periods.

Price Changes. We reserve the right to change subscription pricing at any time. We will provide at least 30 days' notice of any price increase. Continued use of the Services after a price change constitutes acceptance of the new pricing.

Taxes. You are responsible for all applicable taxes associated with your subscription.

7. Intellectual Property

All content, features, and functionality of the Services — including but not limited to software, text, graphics, logos, and data — are the exclusive property of PatientQ Inc and are protected by applicable intellectual property laws.

You are granted a limited, non-exclusive, non-transferable, revocable license to access and use the Services for their intended purpose. You must not:

  • Copy, modify, distribute, or create derivative works based on our Services
  • Reverse engineer or attempt to extract the source code of the Services
  • Remove or alter any proprietary notices or labels on the Services

8. User Content

You retain ownership of any content you submit, upload, or transmit through the Services ("User Content"). By submitting User Content, you grant PatientQ a non-exclusive, worldwide, royalty-free license to use, store, and process that content solely to provide and improve the Services.

You represent and warrant that:

  • You own or have the necessary rights to submit your User Content
  • Your User Content does not violate the rights of any third party
  • Your User Content complies with these Terms and all applicable laws

We reserve the right to remove any User Content that violates these Terms.

9. Third-Party Services and Links

The Services may contain links to third-party websites or integrate with third-party services (such as Stripe for payments or Google Analytics for analytics). These third parties have their own terms and privacy policies, and we are not responsible for their practices or content. Inclusion of any link does not imply endorsement by PatientQ.

10. Disclaimers

The Services are provided on an "as is" and "as available" basis without warranties of any kind, either express or implied. To the fullest extent permitted by law, PatientQ disclaims all warranties, including but not limited to:

  • Implied warranties of merchantability, fitness for a particular purpose, and non-infringement
  • That the Services will be uninterrupted, error-free, or free of viruses or other harmful components
  • That any errors or defects will be corrected
  • That the Services are appropriate or available for use in your jurisdiction

11. Limitation of Liability

To the fullest extent permitted by applicable law, PatientQ Inc, its officers, directors, employees, and agents shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising out of or related to your use of the Services, including but not limited to loss of data, loss of revenue, or loss of goodwill.

Our total liability to you for any claims arising under these Terms shall not exceed the greater of (a) the amount you paid to PatientQ in the twelve months preceding the claim, or (b) $100 USD.

Some jurisdictions do not allow the exclusion or limitation of certain damages, so the above limitations may not apply to you.

12. Indemnification

You agree to indemnify, defend, and hold harmless PatientQ Inc and its officers, directors, employees, and agents from and against any claims, liabilities, damages, losses, and expenses — including reasonable legal fees — arising out of or in any way connected with:

  • Your access to or use of the Services
  • Your violation of these Terms
  • Your violation of any third-party rights
  • Any content you submit through the Services

13. Termination

We may suspend or terminate your access to the Services at any time, with or without notice, for conduct that we believe violates these Terms or is harmful to other users, us, or third parties, or for any other reason at our sole discretion.

Upon termination:

  • Your right to access and use the Services ceases immediately
  • We may delete your account and associated data in accordance with our Privacy Policy
  • Sections of these Terms that by their nature should survive termination will remain in effect

You may terminate your account at any time by contacting support@patientq.io.

14. Dispute Resolution

Informal Resolution. Before filing any formal dispute, you agree to contact us at support@patientq.io and attempt to resolve the matter informally. We will try to resolve the dispute within 30 days.

Governing Law. These Terms shall be governed by and construed in accordance with the laws of the state in which PatientQ Inc is incorporated, without regard to its conflict of law provisions.

Arbitration. If informal resolution fails, any dispute arising out of or relating to these Terms or the Services shall be resolved by binding arbitration, rather than in court, except that either party may bring claims in small claims court if eligible. The arbitration shall be conducted by a mutually agreed upon arbitrator in accordance with applicable arbitration rules.

Class Action Waiver. You agree that any dispute resolution proceedings will be conducted only on an individual basis and not in a class, consolidated, or representative action.

15. Changes to These Terms

We reserve the right to modify these Terms at any time. When we make material changes, we will update the date at the top of this page and may notify you by email or through the Services. Your continued use of the Services after changes take effect constitutes your acceptance of the revised Terms.

16. Severability

If any provision of these Terms is found to be unenforceable or invalid, that provision will be limited or eliminated to the minimum extent necessary, and the remaining provisions will continue in full force and effect.

17. Entire Agreement

These Terms, together with our Privacy Policy, constitute the entire agreement between you and PatientQ Inc regarding the Services and supersede all prior agreements and understandings.
